Most people who call us start with the same question: "How much is the printer?"
It is a fair question. But after more than a decade of supplying and servicing card printers in Malaysia, we have learned that the printer price is usually not the number that hurts. The number that hurts is the one you pay every month after that: ribbons, blank cards, and the occasional repair.
This guide explains what an ID card printer really costs to own, using published consumable figures from Evolis, HID Fargo, Zebra, Magicard and HiTi. Whether you are shopping for your first printer or replacing an old one, this will help you compare properly.
How much does an ID card printer cost in Malaysia?
For an entry-level, single-sided colour printer suitable for staff IDs, student cards or membership cards, you are generally looking at around RM5,000. Dual-sided models and printers with encoding options (magnetic stripe, MIFARE, proximity) cost more.
For reference, here are some of our current listed prices (check the product page for the latest price before ordering):
- Evolis Zenius (single-sided): RM4,998
- HID Fargo DTC1250e (single-sided): RM5,099
- Evolis Primacy 2: RM7,400
- Magicard D: RM7,200
These prices are for the printer. Your ongoing cost comes next.
The part most buyers forget: ribbon yield
A card printer does not use ink. It uses a thermal ribbon, and each ribbon only prints a fixed number of cards before it has to be replaced. For full-colour cards, the standard ribbon is called YMCKO:
- Y, M, C = Yellow, Magenta, Cyan (the colour photo and design)
- K = Black (sharp text and barcodes)
- O = Overlay (a clear protective layer)
Here is how many cards one standard full-colour YMCKO ribbon prints on popular entry-level models, based on the manufacturers' published part specifications:
| Printer | Ribbon part no. | Cards per ribbon |
|---|---|---|
| Evolis Zenius / Primacy | R5F208C134 (YMCKO) | 300 |
| HID Fargo DTC1250e | 45000 (YMCKO) | 250 |
| Zebra ZC300 | 800300-350 (YMCKO) | 200 |
| Magicard 300 | MC300YMCKO | 300 |
| HiTi CS-200e | YMCKO | 400 |
Evolis also offers a "half-panel" YMCKO ribbon for Primacy 2 and Zenius 2 that prints 400 cards, useful when your colour area is only a photo or logo on one half of the card.
Why this matters: if you print 1,000 cards a year, a 200-print ribbon means buying 5 ribbons. A 300-print ribbon means 4. Over the life of a printer, that difference adds up.
How to calculate your real cost per card
Use this simple formula:
Cost per card = (Ribbon price ÷ Cards per ribbon) + Price of one blank PVC card
Example only (not an actual quote): if a ribbon costs RM300 and prints 300 cards, the ribbon cost is RM1.00 per card. Add a blank PVC card at, say, RM0.50, and your total is RM1.50 per card.
Now run the same calculation for every printer you are considering, using the ribbon price your supplier actually quotes you. A printer that is RM300 cheaper today can easily cost you more within two years if its ribbons are pricier or print fewer cards.
Tip: ask your supplier for the ribbon price in writing, together with the printer quotation. If they are reluctant, that tells you something.
Other costs to ask about before you buy
- Blank cards. Standard CR80 PVC cards (the same size as a bank card) are the most common. RFID/MIFARE and proximity cards cost more.
- Cleaning kits. Printers need periodic cleaning of the rollers and print head. Skipping this is one of the most common reasons we see streaky prints.
- Print head replacement. The print head is the most expensive wear part. Ask how it is covered under warranty and what it costs after warranty.
- Software. Some printers include basic card design software; some require a paid licence for database printing.
- Local service. If the printer goes down on a Monday morning, where will it be repaired and how long will it take? A lower price from a seller with no local service support can end up expensive.
Already using Fargo, Zebra, Magicard, HiTi or Entrust?
Many of our customers came to us with a printer from another brand. Some wanted a cheaper cost per card. Some had a printer that was out of warranty. Some simply could not get prompt service.
If that sounds familiar, send us:
- Your printer model
- How many cards you print per month
- The ribbon price you currently pay
We will calculate your current cost per card and compare it honestly with the alternatives. If your current printer is still the best value for you, we will tell you so.
Protecting the personal data on your cards
Staff and student ID cards usually carry names, photos and ID numbers. This is personal data under Malaysia's Personal Data Protection Act 2010. Since 1 June 2025, amendments under the Personal Data Protection (Amendment) Act 2024 introduced mandatory data breach notification and the appointment of a Data Protection Officer for many organisations.
In practice, this means your card printing PC, your cardholder database and your used ribbons should be handled with care. A used ribbon can retain a readable impression of what was printed, so dispose of used ribbons securely rather than throwing them into a general bin.

Frequently Asked Questions
What is the cheapest ID card printer in Malaysia?
Entry-level single-sided colour printers start from around RM5,000. But "cheapest" should be judged on cost per card, not just the printer price. Use the formula above to compare.
How many cards can one ribbon print?
It depends on the printer and ribbon type. Standard full-colour YMCKO ribbons print between 200 and 400 cards on the popular entry-level models listed above.
Can I use a Fargo ribbon in an Evolis printer (or vice versa)?
No. Ribbons are brand- and model-specific. Always check the ribbon part number against your printer model.
Single-sided or dual-sided: which do I need?
If the back of your card only has plain text, terms, or nothing at all, a single-sided printer is usually enough. If both sides need printing on every card, a dual-sided printer saves time and handling.
Do you service printers not bought from Copro Asia?
Yes. We service and repair card printers of all major brands, including Evolis, Fargo, Zebra, Magicard, HiTi, Entrust and Dascom, even if they were not purchased from us. Printers bought from Copro Asia enjoy our standard customer service rates, while printers purchased elsewhere are charged at a separate service rate. WhatsApp us your printer model and the problem, and we will give you a quote before any work begins.
